Meeting Minutes 3 February 2004

Meeting attendees:

Crystal Atherton (Second Congregational); Mary Ellen Smiley (Beverly Historical Society); John Thomson (First Baptist); Elaine Israelsohn (Temple B’nai Abraham); Tom Scully (Beverly Public Library); Carol Mori (Dane Street Congregational); John Suminsby (Second Congregational); Barbara Broudo (Endicott College); Sr. Marguerite (St. Mary’s); David Shawn (First Parish Church); David Goss (Dane Street Congregational) arrived a bit late.

Meeting Minutes:

David Shawn and Tom Scully discussed the hiring of Kristen Kobialka (Kobi) as archivist.

Survey Update

Kobi has begun her surveys: Carol Mori and Barbara Cook discussed Kobi’s survey of Dane Street Congregational Church; John Thomson discussed Kobi’s work at First Baptist Church. Each reported that Kobi worked extremely efficiently and in greater detail than anticipated. She blocked off the room into sections, photographed the holdings, reorganized materials, (even discovered a biography of Rev. Emerson at Dane Street Church that had been presumed lost), and spent between 11-13 hours surveying.

 Members emphasized that a church member should be present for the survey. Kobi needs assistance going through files—and such work is extremely useful to the members. Kobi was especially conscious of the types of records that she was looking at and the conditions.

 Second Congregational Church is next.

Exhibition Update

Barbara Broudo and David Goss presented the plan for the Beverly Highlights exhibition. Since our last meeting, Barbara and David had met and prepared the presentation and plan for the exhibition. Barbara presented a timeline for producing the exhibition, the format of the exhibition, discussed expenses and funding sources. A more detailed outline of this presentation is available on attached photocopies.

Given the timeline, David Shawn suggested that the next meeting serve as a working meeting on the exhibition.

Cummings and Arts Wholesale Supply are to be tapped for financial support. Others suggested CCI Reprographics as a source. 

Sources of Grant Funding

David Shawn urged BAP to begin pursuing other grant funding opportunities immediately rather than waiting for the archivist’s suggestions that would not come until May or June at the earliest.

Several members volunteered to seek out grant funding sources.

Other Business

Barbara Broudo invited BAP members to the reception at the new exhibit at Endicott’s museum and archives, Feb. 26 4-6 p.m.

Next meeting scheduled

March 3, 2004 was the date agreed upon for the next meeting. Mary Ellen Smiley volunteered to host the meeting at the Beverly Historical Society Members agreed that we would use their exhibits.
