Time and Place of Meeting

Beverly Public Library

Meeting attendees:

Present: S Hall, T. Scully, J. Suminsby, E. Iraelsohn

Minutes of the November 4, 2004 meeting were approved.

Grant Dialogue:

The next phase of BAP was presented. Applying for a Documentary Heritage Grant  from the Massachusetts Historical Records Advisory Board ((MHRAB).WAS APPROVED.

BAP will apply for workshops on archival procedures of arrangement and description, etc. for those institutions who were surveyed as a result of receiving the first grant. Two workshops (2 hours each)  and 8 site visits ( 1 hour each)

Beverly Library will be the fiscal agent as in the past.

The grant writing and collection of necessary documents  will be a collaborative effort.   -T. Scully and J. Thomson will write the  project description

-S. Hall will research the costs for a workshop

-T. Scully will provide us with a copy of the last grant. And will send us all copies  of the grant application (it can be downloaded.)

-J. Thomsom will contact the collaborating  institutions and acquire the necessary letters of support

BAP will apply for no more than $ 4,999.99  keep the cash cost-sharing requirement to 5%.

January 6 meeting will be a working meeting to pull material together. Grant deadline is FEBRUARY 11, 2005. We will need to meet more frequently during January to accomplish our goal.

Website Dialogue:

J. Suminsby  presented  a proposal for a re-vamped  website. It includes most of what we have but re-arranged as an outside-in approach rather than the  committee members communications vehicle we have now.  Adding a collections description statement to the listing of the participating institutions will provide easier research for site visitors.

We will wait for our domain name until the new re-arrangement is completed in  March 2005. BAP has received financial support for our domain name.

Architectural Drawing Exhibit Dialogue:

Two members of the committee will visit the building inspector and view/select drawings before 9 am some morning in January.

B. Broudo will call Jerry McSweeney  about Cummings Center as a venue for the BAP Exhibit.

Next meeting will be January 6, 2005 at the Beverly Public Library @ 9:30 am to pull together the material for the grant.
