Minutes of the January 12, 2005 meeting were approved.

Documentary Heritage Grant  -Historical Records Advisory Board ((MHRAB)

Tom Scully has compiled  all the information for the grant application and has typed the final document. B. Broudo signed as Project Manager and the application will sent to the MHRAB before February 11, 2005 (deadline date). The Committee went over the variables of the grant application.

The committee is investigating a grant from the Essex National Heritage Commission for Historical Archives.  The grant could provide storage materials and a  hydrothermograph  for each of  the participating institutions. Each organization will determine the general amount of storage materials needed for their records. Information needed by February 22,2005.  Boxes, folders, sleeves etc. Barbara Broudo  will correlate the information for the March meeting. The deadline for the ENHC grant application is April. The March meeting will be a “working” meeting to compile the information for the grant.

J. Suminsby  presented  a  new website format created by Charlie Wainwright. Discussion centered on  adjustments and John Suminsby will take the Committee’s thoughts to Charlie Wainwright for inclusion. Each institution should send a thumbnail picture  for the website, along with the general information identifying the institutions records. Send them to both John Suminsby and Charlie Wainwright.

Tom Scully, Darren Brown and Barbara Broudo  will visit the building inspector and view/select drawings before 9 am some morning in late February/early March. Carol Mori has offered to develop the text for the exhibit.

John Thomson will pursue the scanning of the first exhibit boards with the NMRLS in Danvers.

The Committee will travel to the NEDCC in Andover March 10, 2005 @ 10 AM for a tour of the world renown facilities. We will leave from the Library at 8:45 AM.

On April 13, 2005 from  9-3 there will be a disaster planning workshop at the Beverly Public library  sponsored by the Massachusetts Board of Library Commissioners. Members of the BAP committee should attend.

Next meeting will be March 3, 2005 at the Beverly Public Library @ 9:30 am to pull together the material for the ENHC grant.
