            The Beverly Archives Project (BAP) held its regular meeting on September 8, 2005 at 7 P.M. at the Beverly Public Library.

            Present and representing the following organizations:

Barbara Broudo, Committee Facilitator, welcomed the group, and those members present introduced themselves.

 

Ms. Broudo informed the committee that we had been successful in obtaining two state grants, one from the Essex National Heritage Commission Partnership for $1500.00 to purchase storage materials, and one from the Massachusetts Historical Records Advisory Board for financial assistance to provide training in the amount of $3,000.00.

The Committee discussed the time and place for our monthly meetings and upon motion duly made and seconded, it was unanimously

 

VOTED:          That the Beverly Archives Project Committee would meet on the first Thursday of each month at 7:30 P.M. at the Beverly Public Library.

 

The present Committee Facilitator then turned the meeting over the new Committee Facilitator, Carol Mori.

Upon motion duly made and seconded it was unanimously

 

VOTED:          to approve the Minutes of May 2005, June 2005 and the Annual Report for 2004-2005.

 

Louise Blair had come to this meeting as a representative of St. Margaret’s Church.  She was concerned about the historical documents at St. Margaret’s and asked if the committee had any advise as to what should be done with the historical records of her church when it officially closes sometime in the fall.  It was suggested by Kobi Koialka, a  professional archivist, that she first contact the archdiocese and see what other churches  are doing with their historical records.  She said that she was aware that all sacramental records would be stored by the Archdiocese.

Crystal Atherton agreed to act as Temporary Secretary for the months of September and October.  A permanent Secretary will be nominated at a later date.

We then discussed in detail some of the goals that the committee hopes to accomplish in the coming year.   One of those goals is to improve our Website and provide additional links to various sites.  Our present Website address is http://bap.firstparishbeverly.org .  That site can also be reached through the Beverly Public Library site and its links. 
 

BAP now has a permanent home at the Beverly Public Library.  We have a room with a computer, printer and desk.  Barbara Bourdo has set up our new letterhead and envelopes with our logo and address.   

The group then discussed the issue of annual dues to cover some of the costs of administering our programs.  After discussion,

VOTED:         To assess an amount of $25.00 annually for each organization to be paid annually in the fall. 

 

The group then discussed way in which we could raise money and awareness of our goals and objects.  Kobi suggested that a calendar would be one way in which we could raise monies to support our goals.  The committee agreed that it was a great idea and several members volunteered to work on a sub-committee to have a calendar ready for 2007.

We then moved to discussion concerning the two grants that we must administer.

We presently are posting advertisements for an archivist to present the two workshops set forth in our grant application.  To date, three applicants have applied to present these workshops. 

Upon motion duly made and seconded, it was unanimously

 

VOTED:         To appoint a sub-committee for the purpose of interviewing the applicants and making a recommendation to the committee to hire an archivist to present two workshops which would be open to the general public as well as our various members.  The committee members are Barbara Broudo, Carol Mori,  and Anna Langstaff.

 

Tentative time lines set for these workshops are October 22, 2005 and November 5, 2004, each workshop to be three hours.

The next regular meeting of the committee will be held on October 6, 2005 at  7:30 P.M. at the Beverly Public Library.
