            The Beverly Archives Project (BAP) held its regular meeting on November 3, 2005 at 7:30 P.M. at the Beverly Public Library.

 

            Present and representing the following organizations were:

1. The minutes of the October meeting were reviewed and unanimously APPROVED.  

2.  Treasurer John Thomson distributed a financial report. Dues have been pouring in, and our coffers now hold $176 (not including partial funding of grants, the proceeds of which are being held by the Beverly Public Library).  The Treasurer’s report was unanimously ACCEPTED.

3. There was discussion of a request that the dues for the First Parish Church be considered paid via their donation of use of the church’s website – an annual cost of over $200, and for which BAP accounts for about 25% of the space on the web-page. After discussion, and on motion duly made and seconded, the request was unanimously APPROVED.

4.  Barabara Broudo reported that the grants needed to be signed and then would be considered finalized, and the funds will be available to pay Kobi for the archivist work.

At the NEXT MEETING we will discuss how the grant for materials/supplies will be used and allocated among the members participating.

5.  There was extensive discussion of the 2007 calendar project:

            - 14 month calendar

            - available in the summer of 2006

            - we will self-produce in small quantities to meet pre-orders

            - price should be in the range of $10-$15.

            - key dates of member organizations will be included

            - possibly ask the Tech School to print for us

A couple of samples of calendars were distributed for inspiration.

Reminder: all member organizations are asked to submit to Carol Mori two digital images (scanned at 1200 dpi) of photos or other objects of interest from their collections, and a committee will be formed to review and select at least 12 (1 for each month) and possibly more, for the inclusion in the calendar.

6.  Carol has assembled a notebook of archival resource materials. There was discussion of such a book (or copy) being left in the BAP Room in the library for the use of participants.

7. Carol and Barbara each noted the importance of the Vice-Facilitator role (assisting this year and becoming Facilitator the following year), as she had done the prior year. She is asking for a volunteer to assume this position.

8. Carol shared a letter from the historical committee of Dane Street Church to its leadership reminding them of the importance of saving and preserving archival records. This is a measure all in BAP should consider with their respective organizations, as frequent reminders are important.

9. The meeting adjourned at 8:30 PM.
