            The Beverly Archives Project (BAP) held its regular meeting on December 7, 2006 at 7:00 P.M. at the Beverly Public Library.

            Present and representing the following organization were:

1. Kobi was unable to attend. She will forward dues and will be an advertiser in next years calendar.

2. The November MINUTES were approved.

3. TREASURERS REPORT - We have a bank balance of $1,110.27 A calendar report indicated an intake of $1,480, expenses of  $624.75, with a balance of $855.25.

4. CALENDAR - Denise is developing a mailing list for the 2008 calendar. Schools, businesses, and organizations will be sent a prototype, asking them if they wish to participate.
Questions to consider - How many pages of ads do we want?
Do we want to sell space on the bottom of each page?
Can we put ads in the back and in the front?
Can a business buy a page consisting of the calendar, plus their ad?
Should we use an historical perspective re the advertising - using old ads together with new ads from the same business?
Should we use a Directory type format?
Should we sell ads in back - 1/4 page, 1/3 page, etc at $100 $250?
Last, but not least, we need a Theme.

5. FUND RAISING - Denise suggested a Cookbook as a 2nd project. Denise agreed to do the typesetting. It would take a year and we should start collecting recipes now. These could include “firehouse11 recipes, baked bean winner recipes, and so on. We should build a relationship with Calendar and Cookbook
participants for the purpose of building up our membership.

6. Carol reported that BevCam is looking forward to establishing a relationship with BAP. Perhaps after the first of the year we can develop some 1/2 hour programs.

7. John Thomson made a motion, “That BAP donate $250 to the Beverly Library for use in the Beverly Room for archival supplies and preservation of Beverly historical books.” The motion was approved

8. OUTREACH - We need a list of organizations, city wide.
We need the name of a contact person and their phone number to put on our web page. We would then be able to direct people who have been storing records and photos to an organization that would be willing to receive them. This could serve a dual purpose, namely, records stored in the attic of an individual can be saved from being thrown away, and organizations can be trained in how to organize and store their archives. We can have an important role in training individuals and organizations how to preserve their archives.

9. A suggestion was made that some of us ought to go to Gloucester to see how their archives are organized.
