            The Beverly Archives Project (BAP) held its regular meeting on 4 January, 2007 at 7:00 P.M. at the Beverly Public Library, chaired by Carol Mori.

            Present and representing the following organization were:

1.     The December Minutes were approved.

2.     Treasurer's Report – Balance as of today,  $1030.27.  A  contribution of  $250 has been sent to the Library for use in the Beverly Room  (see December Minutes).

3.     Site Visits – Two have been suggested:

Gloucester, where the archival vaults in City Hall are believed to "contain the country's longest uninterrupted set of municipal records.

Burlington, where the city has hired an archivist.

John Thomson will try to set dates for visits on a weekday after  2 o'clock.

4.    Calendar – It was learned that the Beverly Historical Society may produce a 2008 Calendar.   If this is so, BAP will not do one.  John Thomson will find out what the Historical Society plans are.

5.    Goals for 2007  (continued in item #9)

Growth.

Identify, solicit,  and involve at least a minimum number of  community organizations.

6.    Bev Cam – Carol needs  help to produce a program

Suggested program – How to resurrect records what have been flooded.  For example, show photos submerged in water and the process by which they may be saved.

Another example could be – what to do to save wet papers.

Another possible program -  three people in the city would bring in a box of papers that  had been stored in their attic.  Kobi would demonstrate how these papers should be handled for archival purposes.  This program would be two-pronged – helping families preserve their history and helping to preserve institutional records that have been stored in someone's attic.

It must be made clear, however, that BAP does not want ownership of these records.

7.    Outreach – We need a booklet to present to organizations showing how they may put their records in order.

We need to go to their meetings, put handouts on the table, and make a 15 minute presentatiion of who we are and what we do.

One of our Goals for 2007 (see #5) should be to visit 3 organizations out of the following list:

          Chamber of Commerce

          Rotary

          Main Streets

          Cove Community Club

          Ryal Side Community Club

          League of Women Voters of Beverly

          Beverly Friendly Garden Club

          Democratic and Republican City Committees

          Beverly Artists Guild

          Beverly Council on Aging

 

8.       Presentation Committee – John Thomson will organize a committee to make presentations (not video) to community organizations.

Barbara Broudo, Davis Shawn and Charles Wainright volunteered to be on this committee.

Barbara Broudo made a motion that an 07 - 08 Goal be to identify 10 organzations  and  make  presentations to them by 2008.  This motion passed.

We might need a Sticky Board to use at these presentations.

The Committee is to make a report at the BAP February meeting.

9.       Goals for 2004 -  07  and beyond

We need to develop a 5 – 10 year vision, including short and long term goals.

We need to brainstorm the whole topic of  Goals.

10.     Cookbook -  Barbara, Carol and Denise will be a committee to find recipes with  historical  connections.
