 Beverly Archive Project  Minutes

September 5,  2007

The Beverly Archives Project (BAP) held its regular meeting at 7 PM at the Beverly Public Library,  chaired by  John Thomson.

Present were:   Polly Armstrong -   Spar & Spindle G.S. Council Museum

Anna  Bertini -  St. Mary's  School

Barbara  Broudo  -  Endicott  College

Barbara Cook -  Dane Street Church

Elaine  Israelsohn -  Temple  B'nai  Abraham

Carol  Mori -  Dane  Street  Church

John  Suminsby – Second  Congregational  Church

John  Thomson – First  Baptist  Church           

  1. Welcome to all  old and new members. 

Announcement of three new members:  Desjardins, Glovsky & Glovsky, North Shore Music Theater.

2.  The June 6th Minutes were approved.  A copy of all Minutes will be filed in the BAP office which is in the Library building.

3.  Treasurer's Report -  Dues Income of  $100.  Expenses:  $465 for the  first  half of the total printing  cost for 175 calendars.                     Present balance is  $673.87.

4.  Annual Report – The Highlight of 2006 – 20007 were:

      a.  We sold out the 2007 Calendar by the end of November and netted donations in the amount of  $855.26

       b. $250 was donated to the Beverly Room of  the Beverly Public Library.

       c.  A 2008 BAP Calendar was designed and 175 copies have been printed.

       d. A five year goal program has been developed, emphasizing Structure, Finance, Education, and Outreach.   Thank you, Carol Mori, for this report. 

5.  Calendar – There will be a press release with a picture,  in  October, and another one in November with a different picture.  Desjardins and the Library have calendars to sell.  Members were asked to take calendars to sell.

6.  Structure and Responsibilities proposals:

      a.  What should go into the "Welcome" package ?     

      b.  The Webpage needs to be maintained and kept up-to-date.

Minutes should be on the Webpage.

       c.  Committee work should be done outside of the Board,  and reports should be funneled back to the Board, i.e., ...."this is what we have done. Does anything need to be decided by the Board ?"

       d.  The League of Women Voters and the Beverly Guild of Artists would like a presentation.  Barbara Broudo will schedule these.

       e.  We need a major public education program.  Can we do this through Bev-Cam

7.  Committees:

        a.  Outreach and Education members are Barbara Broudo ,  John Thomson, and  Charlie Wainright.

        b.  Membership – Barbara Broudo, Barbara Cook and David Shawn are to work on the welcome package.

        c.  Publicity – Carol Mori needs information fed to her for media distribution.

                Carol will start planning the 2009 Calendar in January.

                Anna Bertini volunteered to work on the calendar project.

                Carol would like suggestions for a theme for the 2009 Calendar.

        d.  Website – Charlie Wainright and John Suminsby will update the Website.

        e.  Activities such as tours of other archives, coordination with other groups, and planning alternate meetings will be done by John Thomson and Polly Armstrong.

8.  A tour of Beverly City Hall will take place the evening  of  October 4th.  This would be in lieu of our regular October meeting.

9.  We need a tagline under our Logo.

10.  We will  continue to meet on the 1st Wednesday of the month

        Our next meeting at the Library will be on November 7th, at 7 p.m.
