 Beverly Archive Project  Minutes

November 07,  2007

The Beverly Archives Project (BAP) held its October meeting at the Beverly City Hall at 7 P.M.

Present were:           

Polly Armstrong -   Spar & Spindle G.S. Council Museum

Darren Brown  -  Beverly  Historical Society

Elaine  Israelsohn -  Temple  B'nai  Abraham

Carol  Mori -  Dane  Street  Church

John  Suminsby – Second  Congregational  Church

John  Thomson – First  Baptist  Church

Charles Wainwright – First  Parish Church

1.         The September and October minutes were approved

2.         Treasurer's Report -  Expenses:  $ 465 for the  second  half  of  the total printing  cost for 175 calendars.   Income of  $ 180  from calendar donations.    Present balance is  $ 549.87.

3.    Goals and Strategies  2007  -  2010

Discussion  centered around the need to relate stated strategies to stated goals.  The priority list for Goals was changed as follows:

   #4  became #1  (Education, etc.)

   #1  became #2  (Increase awareness of BAP, etc.)

   #2  became #3  (Increase number of non-religious institutions as members.)

   #3  became #4  (Organize Board  Structure)

   #5  remained the same.

   #6  remained the same.

Matching Strategies to Goals were as follows:

   Structure - #4

   Outreach - #’s   1-2-3-5

   Program and Education - #’s  1-5

   Website  #’s  1-2-5

   Membership  #’s  3-4

The BAP Long Range Plan was unanimously adopted.

4. Calendar -  Carol Mori  will try to get the Citizen to publicize the Calendar in some form.

Board Members were asked to assume responsibility for getting Calendar donations generally, or making personal donations for their own gift giving.

It is time to start thinking about a theme for next year’s Calendar.  “Events” was one suggestion.

5. Outreach/ Education  -  BevCam

Four BAP  presidents (past & present) met at BevCam to discuss producing a video about BAP.  BevCam has a goal to train people to do their own production.   BAP members  can be trained to make videos if we become members of  BevCam.  A class of  5 – 7 people would meet in 4 sessions.   John Thomson,  Charles Wainwright, Carol Mori, and Darren Brown expressed  interest in  taking the training course -  date to be announced.

John Thomson was invited to attend a BevCam Board meeting.   The question to be explored is  how can BevCam and BAP work together .  One example would be as follows:   BevCam has tapes in their archives that need to be converted  to DVD or CD ROM’s.   Could/Should both organizations jointly apply for a grant to carry out this program ?

6. New England  Historical and Genealogical  Society

John has been in touch with the Society and BAP has been invited to come in for a tour,

perhaps  a weekday in February.  ( The digitized group is not available on Saturdays.)

They would like to digitize anything of ours that we would like to give them.

7. Next Meeting

Our next meeting will be a tour of the Town of Danvers Archives which are located in the Peabody Institute Library of Danvers.  The tour will be at 10 a.m., Wednesday December  5th.
